This policy explains the personal information HAP Exclusives uses to operate the store, process orders, provide delivery and support customers.

Information we collect

We may collect your name, email address, phone number, account details, delivery and billing address, order information, payment status and provider references, support messages, returns information and basic website usage or security data.

How we use information

We use information to operate accounts, process and reconcile orders, arrange fulfilment and delivery, provide support, handle returns and refunds, prevent fraud, meet legal obligations and improve the website.

Website analytics and optional shopping preferences

When you first visit, HAP uses privacy-limited first-party analytics to understand which public store pages, catalogue searches, clicks and shopping steps are useful. Before you make a choice, this measurement uses a short session identifier rather than the longer-lived visitor identifier used after acceptance. We may record normalized catalogue search words, applied product filters, the number of results and which suggested or listed product was selected. We do not attach this HAP search measurement to an account or email address, and we discard obvious email-address or phone-number searches. Please do not enter personal information into the catalogue search box. Sensitive account, refund and payment-detail routes are excluded from browsing analytics.

You can manage HAP personalisation, Google measurement and Meta measurement independently. HAP personalisation may use a longer-lived first-party analytics identifier and browser storage to remember the product categories and products you browse. Google measurement permits fuller Google Analytics and Ads measurement. Meta measurement permits Meta Pixel and Conversions API measurement for product views, searches, cart additions, checkout starts and confirmed purchases.

When Google measurement is enabled, the Google tag may normalise and securely hash the email address and phone number already supplied at checkout after a confirmed purchase for Enhanced Conversions matching; these values are not used as transaction IDs. When Meta measurement is enabled, confirmed-purchase matching may use securely hashed contact, name, location and account identifiers, together with technical identifiers such as an IP address, browser details and Meta click or browser identifiers. Browser and server Meta events use the same event reference so Meta can avoid counting the same action twice. We do not send card or banking details to analytics tools.

Disabling HAP personalisation stops HAP browser analytics, clears its analytics identifiers and removes the browsing-interest profile from this browser. Disabling Meta measurement stops future optional Meta browser events and storage. A measurement choice captured when a payment attempt begins continues to govern confirmed-purchase attribution for that payment attempt. When Google measurement is disabled, Google Consent Mode remains denied and may send limited cookieless signals for basic measurement and modelling without setting optional analytics or advertising cookies. Campaign parameters are restricted to standard UTM attribution fields for those limited page signals. Necessary features such as the cart, security and account session continue working.

Payment information

PayFast processes online payments. HAP Exclusives stores the status and provider references needed to reconcile the order but does not store the full card details entered on PayFast.

Aggregate order attempts and PayFast payment outcomes may be reported in the protected HAP administration dashboard from server-side order records. This operational reporting does not depend on optional browser analytics consent and is used to reconcile orders and diagnose the checkout.

For a private quotation, we may email an expiring acceptance link to the invited recipient. We retain the quotation shown, its digital fingerprint, the name, email address, phone number, company and address submitted, the version of the terms, the three confirmations made and their timestamp. This provides an audit record of what was accepted. HAP Exclusives banking details are sent by email after acceptance; they are not placed in the public form, URL or quotation-acceptance database record.

Who receives necessary information

We may share only the information needed with PayFast, Supabase and website service providers, Google or Meta when that provider’s optional measurement is enabled, suppliers involved in fulfilment, couriers and logistics providers, professional advisers, or authorities where required by law. When live parcel tracking is displayed, the tracking number is sent to 17TRACK so that it can retrieve courier events inside the order page. We do not sell customer personal information.

Retention and security

We retain information only as long as reasonably needed for orders, support, fraud prevention and legal or accounting requirements. We use access controls and encrypted connections, but no internet service can promise absolute security.
